The Time Off Report provides you with a calendar of time off or leave requests, colour coded based on the status of the request.

The Time Off Report page may be reached through:

TO VIEW THE LEAVE REPORT FOR A MONTH:

  1. Open the Time Off Report page.

  2. Select the Area* and Store for which you want to view the report from the drop-down list(s).

  3. Select the Year and Month for which you want to view the report from the drop-down lists.

  4. Click on the Go button.

The following information is displayed on the page:

  • The name of the employee listed on the date for which the leave request was logged.

    The colour of the text that the name of the employee is displayed indicates the status of the leave request (this legend is also provided below the calendar).

    • Black text indicates that the leave request has been approved.

    • Red text indicates that the leave request was denied.

    • Orange text indicates that the leave request has expired (was not approved nor rejected before the date for which the request was made).

    • Green text indicates that the leave request is pending (a Manager needs to either approve or reject it).

    • A red asterisk (*) next to a date indicates that the date has been blocked in TimeShark and employees cannot create leave requests for that day.

      Blocked days is a feature that's only available if your store uses TimeShark.

TO APPROVE OR REJECT A LEAVE REQUEST:

  1. Open the Time Off Report page.

  2. Select the Area* and Store for which you want to view the leave requests using the filter Drop-down boxes that let you select from the options available.(s) at the top of the page.

  3. Select the Year and Month for which you want to view the leave requests from the drop-down lists.

  4. Click on the Go button.

  5. Click on the name of the employee for the date of the leave request that you want to approve or reject.

  6. In the Leave Request Details window:

    1. Make changes to the leave request, if required.

    2. Enter a message to the employee in Reply to Employee.

      This message will be included in the system generated message that the employee will receive updating them of the status of the leave request.

    3. Click on the Approve button to approve the leave request or the Reject button to reject the leave request.

    4. Click on the OK button in the confirmation request pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

TO DELETE A LEAVE REQUEST:

  1. Open the Time Off Report page.

  2. Select the Area* and Store for which you want to view the leave requests using the filter Drop-down boxes that let you select from the options available.(s) at the top of the page.

  3. Select the Year and Month for which you want to view the leave requests from the drop-down lists.

  4. Click on the Go button.

  5. In the Leave Request Details window:

    1. Click on the Delete button.

    2. Click on the OK button in the confirmation request pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

TO CREATE A LEAVE REQUEST:

  1. Open the Time Off Report page.

  2. Click on the Create button.

  3. In the New Leave Request window:

    1. Select the Employee for which you are creating the leave request from the drop-down list.
    2. Select Pre-Approved from the Status drop-down list to approve the leave request as you create it, or Pending if you plan to approve it later.
    3. Select the date on which the leave request was submitted from the Date Submitted drop-down calendar.
    4. Select the Reason for the leave request, provided by the employee.
    5. Remove the checkmark from the All Day? box if the leave request starts or ends at a particular time during the day.
    6. Select the Start date and the End date of the period for which the employee requires the leave.
    7. Select the time* on the Start and End date from when, and up to when, the employee is unavailable.
    8. Click on the Create button.
