The Overings page is used to enter transactions that need to be cancelled in part or whole for reasons like a wrong item was recorded, customer changed the order, etc. for the day.

Overings should be added on this page only when they've not been corrected or voided on the POS. Transactions that were corrected or voided on the POS will not show on this page but will appear in Manager Voids on the Summary report.

Transactions entered on this page will not alter sales but will affect cash deposits.

The page begins with a filter Drop-down boxes that let you select from the options available. that you can use to select the Area*, Store and Date for which you'd like to view (or update) overings.

The following information is displayed on the page:

  • Category: The type of overing.

    Click here to learn how to create, edit and delete Overing Categories.

  • Description: Details of the overing (if any).

  • Cashier: The cashier that recorded in the overing transaction.

  • Station: The register at which the overing transaction was recorded.

  • Amount: The base value (before taxes) of the cancelled portion of the transaction.

  • Tax^: The taxes on the base amount, if applicable.

  • Total: The total value of the cancelled portion of the transaction.

    Total = Amount + Taxes^

  • Flags: Indicates actions performed on the overing.

    • M: The overing was manually created in CLEARVIEW.

    • Audit button: The overing was edited.

      Click on the Audit button to see the changes made to the overing.

TO ADD AN OVERING:

  1. Open the Overings page.

  2. Select the Area*, Store and Date for which you want to add the overing from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Create button.

  5. In the Overing Entry window:

    1. Select the Cashier (if applicable) from the drop-down list.

    2. Select the register at which the transaction recorded from the Station drop-down list.

    3. Select the type of overing from Category drop-down list.

    • ClosedTo create a new Category:

      1. Click on New Category.

        In the Create Overing Category window:

      2. Enter the name of the category you want to create in Description.

      3. Enter a number in Sequence (this number determines the order in which the categories will appear in the drop-down list).

        • It's a good practice to avoid assigning consecutive numbers when creating categories the first time and instead use numbers with large gaps between them (for example, 10, 20, 30 and so on). That way, in the future, new categories can easily be inserted in between as required.

        • If you would like the categories to be displayed in alphabetical order, set the sequence for all categories to the same number.

      4. Click on the Create button.

    1. Enter details of the overing in Description.

    2. Select the employee responsible for the overing from the Employee drop-down list.

    3. Enter the transaction number from the receipt or POS in Transaction Number.

    4. Enter the amount of the cancelled portion of the transaction (before taxes) in Amount.

    5. Enter the taxes on the amount in Tax^.

    6. Click on the Create button.

TO ADD MULTIPLE OVERINGS:

  1. Open the Overings page.

  2. Select the Area*, Store and Date for which you want to add the overings from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Bulk Entry button.

  5. In the Daily Entry - Overings - Bulk Entry window:

    1. Select the Cashier (if applicable) from the drop-down list.

    2. Select the register at which the transaction recorded from the Station drop-down list.

    3. Select the type of overing from Category drop-down list.

    • ClosedTo create a new Category:

      1. Click on New Category.

        In the Create Overing Category window:

      2. Enter the name of the category you want to create in Description.

TO EDIT AN OVERING:

  1. Open the Overings page.

  2. Select the Area*, Store and Date for which you want to edit the overing from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Update button next to the overing that you want to edit.

  5. In the Overing Update window:

    1. Make the changes as required.

    2. Click on the Update button.

TO DELETE AN OVERING:

  1. Open the Overings page.

  2. Select the Area*, Store and Date for which you want to delete the overing from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Update button next to the overing that you want to delete.

  5. In the Overing Update window:

    1. Click on the Delete button.

    2. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..
