This page lists out all invoices created in the past, along with basic information of the invoices.

You can use the filters Drop-down boxes that let you select from the options available. at the top of the page to select the parameters for the invoices that you want to see.

The following information is displayed on the page for the Area*, Store and other filters Drop-down boxes that let you select from the options available. selected:

  • Invoice Number: The reference number of the invoice.

  • Supplier Name: The name of the vendor supplying the supplier product An inventory item in a package size available from a particular supplier..

  • Store Name: The store that received the products.

  • Invoice Date: The date on the invoice.

  • Date Received: The date on which the order was received.

  • Status: Open indicates that the invoice creation process is incomplete, while Closed indicates that the process was completed.

    The stock included in Closed invoices only is added to your inventory.

  • Invoice Total: The total cost of all items in the invoice including taxes and shipping.

    Click on an Invoice Total to view the Value Report that lists the total value of each Sub-Category and Category included in the invoice.

  • Type: Electronic indicates that the invoice was received by CLEARVIEW electronically (from the supplier), while Manual indicates that the details were entered manually into CLEARVIEW.

Click on the View Total Value Report button at the bottom of the page to view Value Report that lists the total value of all the invoices listed, grouped by Sub-Category and Category.

TO VIEW AN INVOICE:

  1. Open the List All Invoices page.

  2. Use the filters Drop-down boxes that let you select from the options available. at the top of the page to find the invoice you want to view, if required.

  3. Click on the Invoice Number for the invoice that you want to view.

  4. Click on the View Invoice Details button in the Update Invoice window.

Click on the View Value Report button on the Update Invoice page to view the Value Report that lists the total value of each Sub-Category and Category included in the invoice.

TO EDIT AN INVOICE:

Only open invoices can be edited. To edit a closed invoice, you will first have to reopen it.

  1. Open the List All Invoices page.

  2. Use the filters Drop-down boxes that let you select from the options available. at the top of the page to find the invoice you want to edit, if required.

  3. Click on the Invoice Number for the invoice that you want to edit.

  4. In the Update Invoice window.

    ClosedTo make changes to the quantity or price of existing supplier products:

    1. Click on the View Invoice Details button.

    2. In the Invoice Details window:

      1. Make changes to the Qty Received and Unit Cost as required.

        Changing the Unit Cost will update the Current Price of the Supplier Product for the store once the invoice is closed.

      2. Click on the Submit button.

      3. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

    ClosedTo add item(s) to the invoice:

    1. Select the order in which you'd like the supplier products to be displayed in Product Sequencing.

    2. Click on the Show All Categories/Sub-Cats* button or the name of the category/sub-category of the supplier products you want to invoice.

    3. In the Product List window:

      1. Use the search bar on the Product List page if required.

      2. Enter the Quantity of the supplier products received from the supplier's invoice.

      3. Check that the Unit Price matches that on the supplier's invoice and correct it if required.

        Changing the Unit Price will update the Current Price of the Supplier Product for the store once the invoice is closed.

      4. Click on the Submit button.

      5. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

    1. Check the Tax^, Shipping and Rebate/Discount figures with the invoice received from the supplier, and update the values if required.

    2. Click on the Update button if you made any changes to the figures.

    3. If you don't need to make any more changes to the invoice, click on the Close Invoice button.

      • Closing the invoice will add the stock received to the inventory.

      • A closed invoice can be re-opened so that it can be edited.

    4. Click on the OK button in the confirmation request pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

TO DELETE AN INVOICE:

  • Only open invoices can be deleted. To delete a closed invoice, you will first have to reopen it.

  • Deleting an invoice will also delete the stock from inventory (if the invoice had been closed).

  3. Click on the Invoice Number for the invoice that you want to delete.

  4. In the Update Invoice window:

    1. Click on the Delete button.

TO REOPEN AN INVOICE:

Only invoices of the last 90 days can be reopened, and then too, only if the count for the period of the invoice is still open.

  1. Open the List All Invoices page.

  2. Use the filters Drop-down boxes that let you select from the options available. at the top of the page to find the invoice you want to reopen, if required.

  3. Click on the Invoice Number for the invoice that you want to reopen.

  4. In the Update Invoice window:

    1. Click on the Reopen Invoice button.

    2. Click on the OK button in the Invoice successfully opened pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..
