Difficulty Level - Advanced Impact - Organization Level

The Job Codes settings lets you manage employee roles for your organization and how they are included on reports.

To access Job Codes settings:

  1. Click on on the quick links Located at the top right corner of a page, it contains icons that allow you to quickly access important pages. bar from any page.

  2. In the Settings window:

    Settings associated to a page automatically show in the List box. If the setting that you want to access is in the List box, you can skip step a.

    1. Select Labour from the Filter drop-down list.

    2. Click on Job Codes from the List box in the left pane.

The following information is displayed on the settings page:

  • Job Code: The unique identification code assigned to the job.

  • Job Description: The role of an employee.

  • Include in Executive Summary: Yes indicates that the time cards mapped to the job are included in the calculation of Wage % in the Executive Summary, while No indicates they aren't.

  • Include in SPM Calculations and Storefront Labour: Yes indicates that the hours logged at the job are included in the calculation of sales per man hour, and the wages earned at the job are included in the calculation of labour cost, labour %, wage cost and wage %, in reports other than the Executive Summary report; while No indicates they aren't.

  • Report Sequence: Indicates the order in which the job will appear in reports that include the list of jobs. Jobs with the same report sequence will be organized alphabetically.

  • Auto-Assign Priority: Indicates the order in which jobs are prioritized when auto-generating or auto-assigning employees to shifts in Labour > Schedule > Bar Line Scheduling and Labour > Schedule > Clearview Schedule. The smaller the number the higher the priority.

  • Default Job: Yes indicates that it is the only job that employees will be scheduled for if the auto-generate feature is used in Labour > Schedule > Bar Line Scheduling and Labour > Schedule > Clearview Schedule, while No indicates that the schedule for the job has to be manually created or applied as a recurring shift.

  • Status: Active indicates that the job can be assigned to employees, while Inactive indicates that the job cannot be assigned to employees.

  • Avg. Hourly Wage: The average hourly wage for the job.

    Avg. Hourly Wage = Average pay rate for the job, of all active employees

ClosedCreate a New Job Code

  1. Go to Job Codes settings.

  2. Click on the Create button.

  3. In the Create Job Code window:

    1. Enter a unique code for the job in Job Code.

    2. Enter the role or description of the job in Job Description (for example, Manager, Cook, etc.).

    3. Enter the Department, if required.

    4. Select Yes if you want to include time cards for the job in the calculation of Wage % in the Executive Summary, or No to exclude it, from the Include in Executive Summary Report drop-down list.

      You'd normally select Yes if you want the wages for the job included in the total wages for the store.

    5. Select Yes if you want to include hours clocked at the job in the sales per man hour calculation and the wages earned at the job included in the calculation of labour cost, labour %, wage cost and wage %, in reports other than the Executive Summary report, or No to exclude it, from the Include in SPM Calculations & Storefront Labour drop-down list.

      You'd normally select Yes if the job directly relates to production or sales.

    6. Select how you want to treat time cards that hadn't clocked out when the end of day Completion of end of day tasks on the POS which results in EOD markers sent to Clearview. was performed, from the When time card is active at close drop-down list:

    7. Select Yes from the Default Job on Bar Line drop-down list if you want to schedule employees for the job through the auto-generate feature in Labour > Schedule > Bar Line Scheduling, else select No.

      • Only one job code can be set as the default for Bar Line Scheduling. If another job code is already set as the default, setting the Bar Line Scheduling for this job code to Yes will automatically switch the previous one to No.

      • Setting this control to No will require a manual creation of the schedule for the job or the job has to be set as a recurring shift

    8. Enter a number in Auto-Assign Priority. (This number determines the order in which jobs are prioritized when you auto-generate or auto-assign employees to shifts in Labour > Schedule > Bar Line Scheduling and Labour > Schedule > Clearview Schedule. The smaller the number the higher the priority.)

    9. Enter a number in Reporting Sequence (this number determines the order in which the jobs will appear in the drop-down list).

    10. Enter the maximum increase in wages that you expect to apply to the job in Wage Increase Warning. If there's an attempt to increase wages above the maximum set, CLEARVIEW will indicate the same with a warning.

    11. Enter the Abbreviation you'd like to use for the job.

    12. Select Active from the Job Status drop-down list if you want to be able to assign the job to employees, or Inactive if you don't want the job to be assigned to employees at present.

    13. Click on the Create button.

ClosedEdit a Job Code

  1. Go to Job Codes settings.

  2. Click on the Job Code that you want to edit.

  3. Makes changes to the job code in the Update Job Code window as required (refer to Create a Job Code for details on the controls).

    Job codes that are currently assigned to employees cannot be deactivated. Changing the Job Status of a job code that's assigned to employees to Inactive will generate a View Exceptions button.

    To deactivate the job code:

    1. Click on the View Exceptions button.

    2. Select an Employee from the Employee Job Code Exception List window.

    3. Deactivate the job for the employee by editing it.

    4. Repeat steps 2 and 3 for each of the remaining employees in the list and then follow the rest of the process listed below.

  4. Click on the Update button.

  5. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

ClosedDelete a Job Code

Job codes that are currently assigned to employees cannot be deleted.

  1. Go to Job Codes settings.

  2. Click on the Job Code that you want to delete.

  3. Click on the Delete button.

  4. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..
