The Rebates page is used to track sales of non-menu items (for example, gift cards sold).

Depending on the POS type that you use, these details may be transmitted to CLEARVIEW automatically or may have to be entered manually.

Transactions entered on this page will not alter sales but will affect cash deposits.

This page begins with a filter Drop-down boxes that let you select from the options available. that you can use to select the Area*, Store and Date for which you'd like to view (or update) rebates.

While rebates are primarily gift card purchases, this function can also be used for donations received, security deposits received towards services or rental of your equipment (for example, a guest put down a deposit to rent one of your juice dispensers), etc.

The following information is displayed on the page:

  • Category: The type of rebate.

    Click here to learn how to create, edit and delete Rebate Categories.

  • Description: Details of the rebate (if any).

  • Cashier: The cashier that received the payment.

  • Station: The register at which the payment was received.

  • Amount: The base amount (before taxes) of the rebate.

  • HST, GST, PST and/or VAT: The taxes on the base amount, if applicable.

  • Total: The total amount received.

    Total = Amount + Taxes^

  • Flags: Indicates actions performed on the rebate.

TO ADD A REBATE:

  1. Open the Rebates page.

  2. Select the Area*, Store and Date for which you want to add the rebate from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Create button.

  5. In the Rebate Entry window:

    1. Select the Cashier (if applicable) from the drop-down list.

    2. Select the register from which the rebate was made from the Station drop-down list.

    3. Select the type of rebate from the Category drop-down list.

    • ClosedTo create a new Category:
      1. Click on New Category.

        In the Create Rebate Category window:

      2. Select the Rebate Type from the drop-down list.

      3. Enter the name of the category you want to create in Description.

      4. Enter the serial number of the gift certificate from the POS in Gift Certificate Index*.

        Gift Certificate Index is available only if the Rebate Type was set to Gift Certificate.

      5. Enter a number in Sequence (this number determines the order in which the categories will appear in the drop-down list).

        • It's a good practice to avoid assigning consecutive numbers when creating categories the first time and instead use numbers with large gaps between them (for example, 10, 20, 30 and so on). That way, in the future, new categories can easily be inserted in between as required.

        • If you would like the categories to be displayed in alphabetical order, set the sequence for all categories to the same number.

      6. If the rebate being created is a loyalty card, select the name of the Loyalty Card from the drop-down list.

        1. If the loyalty card does not exist among the options in the drop-down list, click on New Category.

        2. Enter the name of the loyalty card in Description.

        3. Click on the Create button.

      7. Click on the Create button.

    1. Enter a Description for the rebate.

    2. Enter the base amount (before taxes) of the rebate in Amount.

    3. Enter the taxes on the base amount in Tax^ (depending on the location of the store).

    4. Click on the Create button.

TO ADD MULTIPLE REBATES:

  1. Open the Rebates page.

  2. Select the Area*, Store and Date for which you want to add the rebates from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Bulk Entry button.

  5. In the Daily Entry - Rebates - Bulk Entry window:

    1. Select the Cashier (if applicable) from the drop-down list.

    2. Select the register from which the rebate was made from the Station drop-down list.

    3. Select the type of rebate from the Category drop-down list.

    • ClosedTo create a new Category:
      1. Click on New Category.

        In the Create Rebate Category window:

      2. Select the Rebate Type from the drop-down list.

      3. Enter the name of the category you want to create in Description.

      4. Enter the serial number of the gift certificate from the POS in Gift Certificate Index*.

        Gift Certificate Index is available only if the Rebate Type was set to Gift Certificate.

      5. Enter a number in Sequence (this number determines the order in which the categories will appear in the drop-down list).

        2. Enter the name of the loyalty card in Description.

        3. Click on the Create button.

      7. Click on the Create button.

    1. Enter a Description for the rebate.

    2. Enter the base amount (before taxes) of the rebate in Amount.

    3. Enter the taxes on the base amount in Tax^ (depending on the location of the store).

    4. Repeat steps a to f for each additional rebate that you want to add.

    5. Click on the Create button.

TO EDIT A REBATE:

  1. Open the Rebates page.

  2. Select the Area*, Store and Date for which you want to edit the rebate from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Update button next to the rebate that you want to edit.

  5. In the Rebate Update window:

    1. Make the changes as required.

    2. Click on the Update button.

TO DELETE A REBATE:

  1. Open the Rebates page.

  2. Select the Area*, Store and Date for which you want to delete the rebate from the drop-down lists.

  3. Click on the Go button.

  4. Click on the Update button next to the rebate that you want to delete.

  5. In the Rebate Update window:

    1. Click on the Delete button.

    2. Click on the OK button in the verification pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview.

Associated Settings

  • Rebate Categories controls the categories that can be selected for rebates.

  • Loyalty Cards controls the loyalty cards accepted by the organization.

  • Check List controls all check lists for the organization.
