This page allows you to create transfers between internal stores Stores listed under your organization in Clearview. as well as to/from external stores Any store or entity that is not listed under your organization in Clearview. (for example, a friend's store down the street with whom you have a mutual understanding).

There are three types of transfers that can be created:

  • Finished Products: You can account for menu items using Finished Product In and Finished Product Out for items that come in and go out, respectively.

    Menu item transfers (Finished Product In and Finished Product Out transfers) are primarily meant for a source store to satellite store(s) relationship (where one or more items may be prepared by the source store and supplied to satellite stores for sales). Click here to learn more.

    • Menu items being transferred need to be set up in Satellite Product Mapping before you can add them to a transfer.

    • For the occasional transfer of menu items that may happen between peer stores, we recommend that you note down the Satellite Product Mapping for the menu items you're transferring before you change it, and change it back after the transfer.

  • Raw Materials: You can account for raw materials using Transfer Infor items received by your store and Transfer Out for items sent from your store. Raw materials may be in the form of inventory items or supplier products depending on the Count Entry Method selected.

  • Monitored transfers of raw materials: If you would like to track borrowed or lent inventory items or supplier products until they are returned, you can use Lend, Borrow and Repayment.

    • Lend for raw materials that go out, and you expect returned,

    • Borrow for raw materials that come in, and you intend to return, and

    • Repayment for raw materials that are returned after either being lent or borrowed.

Any raw material transferred will affect the stock level of the item at the store(s) involved.

TO CREATE AN INTERNAL TRANSFER:

Items transferred between internal stores Stores listed under your organization in Clearview. will reflect in the inventory of both stores through a single transaction. Hence both stores should not create a transfer for the same transaction, as doing so would account for the transfer twice in both stores.

  1. Go to the Create Transfer page.

    If a similar transfer was created earlier, you can copy and edit the transfer. Click here to learn how.

  2. Select the Date on which the transfer was made from the drop-down list.

  3. Select your Store from the drop-down list.

  4. Select the Transfer Type from the drop-down list.

  5. Select Internal Store from the Transfer With* drop-down list.

  6. Select the store with whom the transfer is being made from the drop-down list.

  7. Click on the Select Transfer* button.

    The Select Transfer button is available only if the Transfer Type selected is Repayment.

    • Select the original transfer being repaid from the Outstanding Transfer Query window.

  8. Enter any notes for internal use in Memo if required.

  9. Click on the Create button.

  10. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

  11. Click on the Add Products* button for finished goods or look up the raw materials using the Search* bar.

  12. In the Add Transfer Items*/Add Products to Transfer* window:

    1. Enter the Quantity* of the finished product or raw material being transferred as per each method in the Transfer* column.

      • Per Method #1, #2 and #3 are the package sizes in which item is stored, with Per Method #1 being the biggest unit (for example, a case of tomatoes), Per Method #3 being the smallest unit (for example, each tomato) and Per Method #2 being any units that may be in between (to illustrate, if the case of tomatoes contains 24 boxes, box would be the Per Method #2 for tomatoes).

    2. Click on the Submit button.

    3. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

  13. Repeat steps 11 and 12 to add more items.

  14. Click on the Request Approval button.

  15. Click on the OK button in the confirmation request pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview.*.

  16. Click on the OK button in the Transfer has been sent for approval pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview.*.

Items highlighted in red are those currently inactive at one of the stores involved in the transfer. If any of those items are added to the transfer, you will be prompted to activate them before you can complete the transfer. If you wish to proceed with the activation, click on the OK button, else click on the Cancel button, remove the affected items and request approval again.

TO CREATE AN EXTERNAL TRANSFER:

  1. Go to the Create Transfer page.

    If a similar transfer was created earlier, you can copy and edit the transfer. Click here to learn how.

  2. Select the Date on which the transfer was made from the drop-down list.

  3. Select your Store from the drop-down list.

  4. Select the Transfer Type from the drop-down list.

  5. Select External Store from the Transfer With* drop-down list.

  6. Click on the Select Store button.

  7. Select the store with which the transfer is being made from the Store Search Results window.

    ClosedIf the store does not exist:

    1. Click on the Create External Store button.

    2. In the Create Transfer Store window:

      1. Enter a name for the store in Description.

      2. Enter the name of the person to contact at the store in Contact Name, if available.

      3. Enter the Contact Phone # of the store, if available.

      4. Enter any other information on the store that you want to keep on record in Memo.

      5. Set the Status to Active if you want to be able to make transfers to/from the store immediately or Inactive if you don't want to enable transfers to/from the store at present.

      6. Click on the Create button.

      7. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

  8. Click on the Select Transfer* button.

    The Select Transfer button is available only if the Transfer Type selected is Repayment.

    • Select the original transfer being repaid from the Outstanding Transfer Query window.

  9. Enter any notes for internal use in Memo if required.

  10. Click on the Create button.

  11. Click on the OK button in the confirmation pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

  12. Click on the Add Products* button for finished goods or look up the raw materials using the Search* bar.

  13. In the Add Transfer Items*/Add Products to Transfer* window:

    1. Enter the Quantity* of the finished product or raw material being transferred as per each method in the Transfer* column.

  14. Repeat steps 12 and 13 to add more items.

  15. Click on the Close Transfer button.

    Clicking on the Close button will close the transfer window but will not complete the transfer. If you happen to close the transfer window, you will have to edit the transfer and complete it by clicking on the Close Transfer button.

  16. Click on the OK button in the confirmation request pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview..

Items highlighted in red are those currently inactive at your store. If inactive items were added to the transfer, you will be prompted to activate them before you can complete the transfer. If you wish to proceed with the activation, click on the OK button, else click on the Cancel button, remove the affected items and request approval again.

As soon as the creation of the transfer is complete (either by requesting approval or closing the transfer) the stock level of the inventory items/supplier products included in the transfer will be adjusted by the quantity transferred for the store that created the transfer.

TO COPY AN INTERNAL TRANSFER:

  • The items and quantities can be adjusted when you copy a transfer. However, the stores involved in the transfer and the transfer type cannot be edited.

  • The date of the transfer will automatically be set as the day the transfer is being created in CLEARVIEW.

  1. Go to the Create Transfer page.

  2. Click on the Copy Transfer button.

  3. Click on the Copy button for the transfer that you want to replicate in the Copy Transfer window.

  4. Edit the transfer details in the Update Transfer window if required.

  5. Click on the Request Approval button.

  6. Click on the OK button in the confirmation request pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview.*.

  7. Click on the OK button in the Transfer has been sent for approval pop-up box A box with a prompt that opens up when you click certain links or buttons in Clearview.*.

  3. Click on the Copy button for the transfer that you want to replicate in the Copy Transfer window.
